Time Zone Conversion and Meeting Planning: The Complete Guide

Remote work and global teams have turned time zones from a travel curiosity into a daily challenge. Anyone who has accidentally scheduled a call for a colleague's 4 a.m., or joined a meeting an hour early because of Daylight Saving, knows the pain. The concepts behind time zones are not complicated, but there are a few genuine traps. Understand them, and cross-timezone scheduling stops being a guessing game.

How Time Zones Actually Work

The world is divided into time zones so that noon roughly lines up with the sun being overhead wherever you are. Each zone is defined by its offset from a single global reference called Coordinated Universal Time, or UTC. A zone described as UTC+1 is one hour ahead of that reference; UTC−5 is five hours behind it.

Not every offset is a whole number of hours, which surprises people. India runs on UTC+5:30 — a half-hour offset — and Nepal is famously UTC+5:45, a 45-minute offset. This is why you cannot always assume a neat one-hour difference between neighbours. When you convert between two zones, what you are really doing is comparing their offsets from UTC and finding the gap.

The Daylight Saving Complication

Just when time zones seem manageable, Daylight Saving Time (DST) arrives to complicate things. Many — but not all — regions shift their clocks forward by an hour in spring and back in autumn to make better use of evening daylight. During those months, a zone's effective offset from UTC changes.

The tricky part is that different regions start and end DST on different dates, and many places (including large parts of Asia and Africa) do not observe it at all. This means the time difference between two cities is not fixed year-round — it can shift by an hour for a few weeks whenever one city has changed its clocks and the other has not. Relying on a difference you memorised months ago is a classic way to get caught out.

Why Manual Conversion Goes Wrong

People make time zone errors for predictable reasons. They forget about half-hour offsets. They apply an old time difference that DST has since changed. They confuse "ahead" and "behind," subtracting when they should add. And they forget that converting across a large gap can push you into the previous or next day — a 9 a.m. meeting in one city might be 11 p.m. the night before in another.

These mistakes are easy to make with mental math and a mental model that is slightly out of date. The reliable fix is to let a tool that uses the live time zone database do the conversion, because it already knows every offset and every DST rule and applies them automatically for any date you choose.

A Method for Planning Fair Meetings

When you need to find a meeting time that works for people in several places, guessing rarely produces a fair result — someone usually ends up with a terrible hour. A better approach is systematic.

First, list every participant's time zone. Second, identify each person's reasonable working hours, typically something like 9 a.m. to 5 p.m. local time. Third, look for the window where those working hours overlap. The goal is to find a slot where as many people as possible are within their normal day. When a perfect overlap does not exist — common with truly global teams spanning Asia, Europe, and the Americas — aim to share the inconvenience fairly rather than always favouring one region.

Making It Effortless

Time zones will always add a little friction to global collaboration, but they do not have to cause 3 a.m. mistakes.
